Exact Match
An Exact Match is found between the new application
and an existing application if the following personal details of any person on the
application match personal details from an existing application.
The details that are compared are:

Person’s family name, middle names and first name
(either current or original)

Person’s date of birth

Country of birth
If an exact match is found to a Paid application,
or an Approved application that is awaiting payment, the new application is rejected.
If an exact match is found to an application that are
not yet paid or approved for payment, both applications are suspended. In this case
a decision must be made as to which application (if any) will progress, and that
application must be manually reactivated.
Similar Match
A Similar Match is found between the new application
and an existing application if the following personal details of any person on the
application match personal details from an existing application that is not yet paid
or approved for payment.
The details that are compared are:

Person’s family name (either current or original).

Person’s date of birth
Note: A similar match on the family name includes
matches with similar sounding names, as determined by a “sounds like” or “like” algorithm.
The latter check ensures that, for example, “Deb” and “Debra” will match.
If a similar match is found, the two applications appear
on a Similar Matches online report until they are either manually linked (which equates
to an exact match) or manually unmatched. While on the Similar Matches online report
the progress of the applications is not suspended.
Duplicate Bank Accounts
A Duplicate Bank Account match occurs when
the BSB and Bank Account Number of a new application are identical to those
of an application that has previously been processed.
Only SRO applications processed for payment to an individual via EFT are checked
for duplicate bank accounts.
If a Duplicate Bank Account is found, the new application is
suspended and the duplicate account is listed on the Duplicate Bank Accounts Report for
further investigation.
